Refund, Cancellation & Payment Policy
Last Updated in September 2026
This policy governs payments made through Kotiyo for subscriptions, community services, maintenance/dues, amenity bookings, charges and other services made available through a participating community. The applicable community may have additional rules.
1. Payment categories
- Platform subscription fees payable by a community/organisation or user, as applicable.
- Maintenance, association dues, utility or other community charges assessed by the community.
- Amenity booking or cancellation charges.
- Other service charges expressly displayed before payment.
2. Payment processing
Payments may be processed by third-party payment gateways. Mywe may receive transaction references, status and reconciliation information. Card/banking credentials are generally handled by the payment provider and not stored by Mywe unless expressly stated.
3. Subscription cancellation
Unless the applicable order or subscription page states otherwise, a subscription may be cancelled before the next renewal date. Cancellation normally stops future renewals but does not automatically reverse amounts already paid for a completed billing period.
4. Refund eligibility
- Duplicate or demonstrably erroneous payments may be eligible for refund after verification.
- Where Mywe fails to provide a paid platform service due to a material service failure attributable to Mywe, a proportionate refund or service credit may be considered, subject to the applicable order and circumstances.
- Refunds for community maintenance/dues, fines, deposits, amenity charges or other community-assessed amounts are subject to the rules and approval of the relevant community; Mywe does not decide whether a resident's underlying community charge is valid.
- Where a payment is reversed or a transaction fails but money is debited, Mywe/payment partners will use reasonable efforts to reconcile and process the amount according to gateway/banking timelines.
- Where a law grants a mandatory refund or consumer remedy, that legal right prevails over any inconsistent contractual term.
5. Non-refundable items
Unless required by law or expressly approved otherwise, fees for services already fully consumed, completed bookings, administrative services, transaction charges, and community charges already applied to the resident account may be non-refundable.
6. Refund method and timing
Approved refunds will generally be issued to the original payment method or another lawful method determined by the payment provider. Banking/payment-network timelines are outside Mywe's control.
7. Chargebacks
Users should first contact Mywe or the relevant community for transaction errors. Fraudulent or unauthorised transactions should also be reported promptly to the payment provider/bank. Mywe reserves the right to suspend accounts or investigate suspected payment abuse, subject to law.
8. Disputes
A payment dispute must identify the transaction, date, amount, user/account and reason. Community-charge disputes may need to be raised with the association/RWA/property manager.
9. Statutory compliance
Nothing in this policy excludes rights that cannot lawfully be excluded. Where Kotiyo is used for e-commerce or other covered transactions, applicable consumer-protection disclosure, grievance, refund and payment requirements will be followed. The Department of Consumer Affairs publishes the Consumer Protection (E-Commerce) Rules, 2020 and related materials.
